Lead Admin

Job Title: Lead Admin

Status: Part Time (25-29hrs) Non- Exempt
Direct Report: Lead Pastor

Job Purpose
Provide administrative and organizational support to the Lead Pastor and Operations Pastor, ensuring smooth day-to-day operations and the effective execution of church initiatives. This role manages schedules, communication, meetings, and special projects—allowing the Lead Pastor to focus on vision and leadership, while also supporting the Operations Pastor in managing systems, processes, and organizational effectiveness. In addition, the Lead Admin provides office support through calendar management, administrative tasks, and team initiatives, helping ensure excellence and efficiency across the organization.
Duties and Responsibilities
Lead Pastor Support
  1. Serve as first point of contact for Lead Pastor
  2. Prepare correspondence and reports for the Lead Pastor
  3. Maintain the Lead Pastor’s calendar, schedule meetings, conferences, retreats, travel, etc.
  4. Plan and prepare materials for team retreats and other meetings
  5. Provide administrative support to the Advisory Board and assist with Directional Team follow-up.
  6. Coordinate travel arrangements for guest speakers and missionaries, including booking flights, accommodations, transportation, and itineraries to ensure a seamless experience.
  7. Perform other duties as assigned to support the effectiveness of ministry and church operations.

Operations Pastor Support
  1. Oversee and manage all operational requests for the church, assigning and tracking them in Basecamp to ensure completion (admin, maintenance, room, and facility rental requests).
  2. Serve as the primary point of contact for all facility and building inquiries.
  3. Manage the Office Greeter Team; when needed, perform greeter duties including answering phones, managing the general inbox, checking mail, accepting deliveries, and welcoming visitors.
  4. Order and maintain office supplies and inventory.
  5. Manage church-wide systems such as the Legacy Church master calendar (ensuring no conflicts), office phone lines, and the Grasshopper app (team extensions, on-call scheduling, and voicemail routing).
  6. Support team meetings by preparing agendas, taking minutes, entering follow-ups into Basecamp, ordering food when needed, and recognizing staff birthdays/milestones.
  7. Help coordinate logistics for business meetings, retreats, and other operational events as assigned.
Qualifications
Abilities & Skills:
  1. Strong organizational and planning skills with the ability to anticipate needs, think ahead, and free the pastors to focus on vision and leadership.
  2. Detail-oriented while keeping perspective on the big picture and overall ministry goals.
  3. Proven ability to develop and support volunteer leaders, equipping them for ministry.
  4. Clear communicator who can explain processes and ensure follow-through.
  5. Self-motivated, able to manage multiple priorities, make independent decisions, and solve problems effectively.
  6. Professional and composed under pressure, with the ability to handle confidential information with integrity.
  7. Proficient with Microsoft Office, Google Suite, and Planning Center; experience with Basecamp or similar platforms a plus; willing to learn new tools as needed.
  8. Ability to recruit, equip, and develop volunteer leaders, building strong teams that support ministry effectiveness.

Experience & Education:
  1. Exceptional interpersonal, written, and verbal communication skills.
  2. Strong administrative and organizational background with leadership experience preferred.
  3. Skilled in editing, proofreading, and creating clear documentation.
  4. Demonstrated ability to work in a fast-paced, multi-task environment while maintaining excellence.
  5. High School Diploma or GED required; additional administrative, ministry, or leadership experience preferred.

Working Conditions
This position operates with moderate supervision, working from objectives set by the Lead Pastor and Operations Pastor. Most tasks are carried out independently based on established practices and instructions. While initial guidance may be provided, the expectation is that the Lead Admin will quickly transition to working with general direction, ensuring efficiency and alignment with the Lead Pastor and Operations Pastor’s priorities.
Direct Report
This position is not a supervisory position and reports directly to the Lead & Operations Pastors.
